From email to spreadsheet, without the typing.

How a small business can stop retyping invoices and orders from email. Software reads each message, pulls out the details and files them for your team to review.

Example 1: Working off email and copying into spreadsheets Two lanes handle the same invoice email: by hand, a person opens it, downloads the PDF, opens a spreadsheet, types in the vendor, invoice number, amount and due date, and sends it on, one step at a time. In the same time, the automated lane reads, classifies and extracts the data on its own, saves it to a database and shows it on a website, finishing five emails to the manual lane's one.

How it works today

An invoice, purchase order or quote arrives by email. Someone on your team opens it, downloads the attached PDF and opens the spreadsheet or system where it belongs. They read off the vendor, the invoice number, the amount and the due date, type each one in, then forward the email to whoever approves it. Then they do it again for the next one.

Each email only takes a few minutes, but they arrive all day, and the work lands on whoever is least busy, or on the owner after hours. Typos slip in, a busy week becomes a backlog, and nobody can see what has been entered until the person doing it is finished. When that person is out, the inbox simply waits.

How it works once it is automated

Software watches the inbox for you. When an email arrives it sorts out what kind of message it is. For the ones that matter, it reads the email and any attachment, pulls out the same details a person would and saves them to a small database. A simple web page shows everything that has come in, sorted and searchable, for anyone on your team who needs it.

Anything unusual, such as a missing invoice number, a total that does not add up or a sender it has not seen before, is flagged for a person rather than guessed at. The rest is handled automatically, with access to only the information you choose to share.
